2026 Summer Internship

Filing Tips

Our Compliance Team has seen an uptick in a few recurring filing errors recently. Whether you’re a newer filer or just looking for a quick refresher, here’s a breakdown of some of the most common issues and how to resolve them.

1) Insurer Participation Errors

If your filing involves multiple insurers participating under one policy number, each insurer needs to be listed individually in the Washington Filing Portal with their participation percentage calculated out of the total premium.  For quota share policies, the WA OIC requires a separate filing for each individual policy number shown on the documents.

2) Broker Name Missing from Stamp

Your registry stamp wording must include the name or initials of the licensed broker or the name of the brokerage, either at the beginning or end of the stamp. Double-check that the name listed on your documents matches the broker or brokerage details as listed in the Washington Filing Portal.

3) Noncompliant Service of Suit

Every filing must include a Service of Suit or Service of Process clause that designates the Insurance Commissioner of the State as the one to receive lawful process in the event of a suit. This clause is typically found on its own policy form referenced on the forms and endorsements page, though some insurers include it within the Policy Conditions.
